Secure App Password Authentication

SalesSheet connects to Gmail using Google's App Password system - a purpose-built authentication method that gives your CRM access to email without exposing your main Google password. Your App Password is encrypted with AES-256 encryption at rest and transmitted exclusively over TLS-encrypted connections. SalesSheet never stores your primary Google credentials, never accesses non-email Google services, and the App Password can be revoked instantly from your Google account if you ever need to disconnect.

Two-Way IMAP Sync

Emails flow in both directions. When someone replies to your email, it appears on their contact record in SalesSheet within minutes. When you send an email from SalesSheet, it shows up in your Gmail Sent folder exactly as if you had sent it from Gmail directly. Read status, labels, and threading are all preserved. The sync runs continuously in the background, and historical emails are pulled in during initial setup so you start with full conversation context from day one.

Automatic Contact Matching

Every incoming and outgoing email is automatically matched to the correct contact record based on email address. If a new email arrives from an address not in your CRM, SalesSheet creates a new contact record and begins enriching it with available data. Email threads are linked to active deals when the participants match, so opening a deal shows you the complete communication timeline without any manual tagging. Group emails and CC'd addresses are handled correctly - every participant gets the email logged to their record.

Generate a Gmail App Password

In your Google Account security settings, enable 2-Step Verification if you have not already, then generate an App Password specifically for SalesSheet. This takes about 60 seconds. Google creates a unique 16-character password (four groups of four characters) that grants email-only access - it cannot be used to access your Google Drive, Calendar, or any other Google service. In SalesSheet, click "Connect Gmail Account," choose the "App Password" method (marked Recommended), enter your Gmail address and paste the 16-character password. SalesSheet tests both IMAP and SMTP connections in sequence and shows a green "Connected" status when verified. Your regular Gmail password is never shared with SalesSheet.

SalesSheet Connects and Syncs

SalesSheet establishes a secure IMAP connection to Gmail's servers using your App Password. The initial sync pulls in your recent email history and matches messages to existing contacts in your CRM. Depending on your inbox size, this can take anywhere from a few minutes to a couple of hours. Once the initial sync completes, new emails are synced in near real-time - typically within two to three minutes of arriving in your inbox. You will see a complete email timeline on every contact record.

With the connection active, you can send emails directly from any contact or deal record in SalesSheet. Replies arrive on the contact record automatically, threaded into the correct conversation.
