Bulk email functionality allows you to send personalized messages to multiple contacts simultaneously, saving time while maintaining the individual touch that drives engagement. Unlike generic mass emails, SalesSheet.ai's bulk email feature uses merge fields to customize each message with recipient-specific information.

Whether you're announcing a product launch, sharing a content resource, or reaching out to a segment of prospects, bulk email helps you scale your outreach without sacrificing personalization. Each email is sent individually from your connected email account, so they appear as one-to-one communications rather than mass mailings.

Select Your Target Contatos

Navigate to your Contatos view in SalesSheet.ai. You can select contacts for bulk email in several ways. The most precise method is to create a filter or use an existing saved view that includes only the contacts you want to email.

Click "Filters" to build a segment based on criteria like industry, company size, deal stage, last contact date, or any custom fields you've created. For example, you might filter for "All contacts in Tech industry who haven't been contacted in 30 days and are at the Prospect stage."

Once your filter is applied and you see the contacts you want to email, you can select all visible contacts by checking the box at the top of the contacts list. If your filter returns more contacts than are shown on the current page, SalesSheet.ai will ask if you want to select all matching contacts across all pages.

Alternatively, you can manually select specific contacts by checking the boxes next to individual contact names. This is useful for smaller, more curated lists or when you want to exclude certain contacts from a filtered segment.

You can also use saved lists if you've previously created them. Navigate to Lists in the left sidebar, select your target list, and then check the box to select all contacts in that list for bulk email.

Compose Your E-mail

With your contacts selected, click the "Actions" dropdown at the top of the contacts list and select "Send Bulk E-mail." The bulk email composer will open, showing how many recipients you've selected.

Compose your email or use AI to draft a personalized message. Make sure your email includes merge fields for personalization -- bulk emails without personalization perform significantly worse than personalized ones. Use merge fields like {{FirstName}} and {{Empresa}} which will be replaced with actual data for each recipient.

Review the subject line and message body to ensure everything looks correct. The compose window highlights merge fields so you can verify they are placed appropriately.

Personalize with Merge Fields and Preview

Even though you're using a template, you can still make final edits to the content before sending. Add or remove merge fields, adjust the messaging, or customize the call-to-action for this specific campaign.

Pay special attention to contacts who might have missing data. If a contact doesn't have a value for a merge field you're using, the preview will show you how that will appear. Make sure you've set up fallback values in your merge fields (like {{FirstName|there}}) so emails don't have awkward blank spaces.

The preview also shows you which contacts will be skipped due to missing email addresses, bounced emails from previous campaigns, or unsubscribe status. Review this list to ensure you're not excluding contacts unintentionally.

You can also send a test email to yourself by clicking "Send Test." This allows you to see exactly how the email will appear in an inbox, check formatting on mobile devices, and verify that all links work correctly.

Configure Sending Options

Before sending, configure your bulk email settings. Choose whether to enable email tracking for this campaign. Tracking allows you to see open rates, click rates, and individual engagement, but some recipients may have privacy settings that block tracking.

Set your sending pace to avoid hitting email provider limits and reduce the risk of being flagged as spam. SalesSheet.ai can throttle your bulk sends to stay within safe limits. For example, you might choose to send 100 emails per hour rather than all at once. This makes your sending pattern look more natural and improves deliverability.

Configure your "From" address if you have multiple email accounts connected. All emails in this campaign will come from the selected account. Choose the account that's most relevant to your recipients - for example, use your sales@ address for prospect outreach and support@ for customer communications.

Enable or disable automatic follow-ups. SalesSheet.ai can automatically add a follow-up task or send a second email to contacts who don't open or respond to your first email. Set the timeframe for this follow-up (typically 3-7 days after the initial send).

Send or Schedule Your Campaign

Once you've configured all settings and reviewed your preview, you're ready to send. You have two options: send immediately or schedule for a specific date and time.

If sending immediately, click the "Send Now" button. SalesSheet.ai will begin sending emails according to the pace you configured. You'll see a progress indicator showing how many emails have been sent and how many are remaining in the queue.

To schedule your campaign for later, click "Schedule Send" instead. Choose the date and time you want emails to start sending. This is useful for timing your campaigns to hit inboxes at optimal times - research shows Tuesday through Thursday mornings typically have the highest open rates for B2B emails.

After clicking send or schedule, you can navigate away from the page - the bulk send will continue in the background. You'll receive a notification when the campaign is complete, including summary statistics like total sent, bounces, and initial open rate.

All sent emails are logged in each contact's activity timeline just like individually sent emails. Your team can see the email content and engagement data for each recipient, maintaining full visibility into customer communications.

E-mails that have already been sent cannot be recalled, but this prevents the remaining emails from going out. You can also edit scheduled campaigns before they start by clicking "Edit Campaign," which allows you to modify the template, change recipients, or adjust the send time.
