Custom Field Management

SalesSheet.ai organizes data fields across three registries: Contato (approximately 50 fields), Empresa (approximately 25 fields), and Opportunity (approximately 27 fields). Each registry includes a set of protected built-in fields that cannot be deleted, along with unlimited custom fields that you can create, reorder, and configure to match your team's workflow.

Custom fields let you capture data specific to your business that the default fields do not cover. Whether you need to track a contact's preferred communication channel, a company's industry vertical, or an opportunity's procurement process, custom fields keep that data structured and searchable within your CRM.

Passo 1

Navigate to Field Settings

Go to Settings > Fields from the left sidebar. You will see three tabs at the top of the page corresponding to the three registries: Contato Fields, Empresa Fields, and Opportunity Fields. Click any tab to view and manage the fields in that registry.

Each tab displays a scrollable list of all fields in the registry, organized by category. Built-in fields are marked with a lock icon, indicating they are protected and cannot be renamed or deleted. Custom fields appear below the built-in fields within each category and can be fully edited.

Create a New Custom Field

Clique no botao + Add Field button at the top of any registry tab. A creation dialog appears where you configure the field:

  • Field Name: A descriptive label like "Preferred Channel" or "Contract Renewal Date"
  • Field Type: Choose from Text, Number, Date, Dropdown, Multi-select, Checkbox, URL, E-mail, Phone, Currency, or Percentage
  • Category: Assign the field to an existing category (such as "Basic Info," "Social," or "Custom") or create a new category
  • Default Value: Optionally set a value that is pre-filled for new records
  • Required: Toggle on to make this field mandatory when creating or editing records

For Dropdown and Multi-select types, you will also define the list of options. Type each option on a new line or paste a comma-separated list. Options can be reordered by dragging them within the dialog.

Organize Fields with Drag and Drop

The order of fields in the settings page determines the order they appear on contact, company, and opportunity detail pages. To rearrange fields, click and hold the drag handle (the six-dot icon on the left side of each field row) and drag the field to its new position. Fields can be moved within a category or between categories.

Category order can also be rearranged by dragging the category header. This is especially useful when you want your most-used custom fields to appear at the top of the detail page, above less frequently accessed fields.

Set Visibility Toggles

Each field has a visibility toggle (eye icon) on the right side of its row. Toggling visibility off hides the field from detail pages, forms, and the column picker in list views. The field still exists in the database and retains its data, but it is no longer shown in the interface.

This is useful for fields that contain legacy data from a previous CRM import or fields that are only relevant to certain teams. Hidden fields can be re-enabled at any time by toggling visibility back on. Built-in fields like Name and E-mail cannot be hidden.

Understanding Protected Built-In Fields

Each registry includes protected fields that form the core data structure of SalesSheet. For example, the Contato registry includes built-in fields like First Name, Last Name, E-mail, Phone, Empresa, Owner, Tags, Created Date, and Last Activity Date. These fields cannot be deleted, and their type cannot be changed.

However, you can still reorder built-in fields using drag and drop and adjust their visibility (with the exception of Name and E-mail, which are always visible). This lets you customize the layout without risking accidental deletion of critical data fields.

Dica Pro

Create a "CRM Migration" category for fields imported from your previous CRM that do not have a direct equivalent in SalesSheet. This keeps migrated data accessible without cluttering your primary field categories. Once your team has fully transitioned, you can hide or reorganize these fields.

Solucao de Problemas

I cannot delete a field. It shows a lock icon. Why?

Fields with a lock icon are protected built-in fields that are part of SalesSheet's core data model. They cannot be deleted or have their type changed. You can hide them using the visibility toggle if you do not need them displayed, but the field and its data will remain in the system.

My custom field does not appear on the contact detail page. Where is it?

Check that the field's visibility toggle is enabled in Settings > Fields. Also verify that you created the field in the correct registry. A field created in the Empresa registry will not appear on a Contato detail page. Finally, scroll down on the detail page, as new fields are added at the bottom of their category by default.

I changed a field type from Text to Dropdown and lost some data. Can I recover it?

Changing a field type can cause data loss if existing values do not match the new type. For example, converting a text field with freeform entries to a dropdown will blank out values that do not match a dropdown option. Contato support within 48 hours to request a data restoration from backups. To avoid this in the future, create a new dropdown field and use bulk edit to migrate data manually.
