The contact timeline is your complete interaction history with each person in your CRM. Every email, call, meeting, note, and deal activity is automatically logged and displayed in chronological order, giving you instant context before any conversation.

Understanding the Timeline

The timeline provides a comprehensive view of your relationship with each contact, automatically capturing activities from multiple sources.

What appears in the timeline:

  • E-mails: Sent and received emails with subject lines and snippets
  • Calls: Logged phone calls with duration, outcome, and notes
  • Meetings: Scheduled and completed meetings from your calendar
  • Notes: Manual notes and observations you add
  • Deals: Deal stage changes and important milestones
  • Tasks: Completed and upcoming tasks related to this contact
  • System events: Contato created, enriched, merged, or field changes
  • Files: Documents shared or attached

Timeline benefits:

  • See complete conversation history before making a call
  • Never ask "have we talked about this before?"
  • Onboard new team members quickly by showing relationship history
  • Identify contacts who haven't been contacted recently
  • Track deal progression and touchpoints over time

Accessing the Timeline

Navigate to the Contatos list and click any contact name to open their detail page and timeline

The timeline is prominently displayed on every contact detail page.

How to view a contact's timeline:

  • Navigate to Contatos from the main menu
  • Click on any contact name to open their detail page
  • The timeline appears in the center panel (or below contact info on mobile)
  • Activities are displayed in reverse chronological order (newest first)
  • Scroll down to see older activities

Timeline layout:

  • Each activity has an icon indicating the type (email, call, note, etc.)
  • Timestamps show when the activity occurred
  • Click any activity to expand and see full details
  • Attached files and documents appear inline
  • System events are shown in gray with lower prominence

Activity Types Explained

Understanding what each activity type represents helps you interpret the timeline.

E-mail activities:

  • Shows sender, recipient, subject, and preview of the first few lines
  • Includes whether the email was opened and when
  • Shows link clicks if tracking is enabled
  • Click to read the full email thread
  • Reply directly from the timeline

Call activities:

  • Logged manually or automatically from phone integrations
  • Shows call direction (inbound/outbound), duration, and outcome
  • Includes notes taken during or after the call
  • Can be linked to deals or opportunities discussed

Meeting activities:

  • Automatically synced from your connected calendar
  • Shows meeting title, attendees, and time
  • Displays meeting notes if added
  • Indicates whether the contact attended or was no-show

Note activities:

  • Manual notes you or team members add
  • Can include formatting, links, and @ mentions
  • Shows who created the note and when
  • Can be pinned to the top of the timeline for important information

Deal activities:

  • When a deal is created involving this contact
  • Stage changes in the sales pipeline
  • Deal won or lost outcomes
  • Value changes and key milestones

Filtering Timeline Activities

When timelines get long, filters help you find specific types of interactions quickly.

Using timeline filters:

  • Look for the filter icon at the top of the timeline
  • Click to reveal filter options
  • Select which activity types to show or hide
  • Choose a date range to focus on recent or historical activities
  • Filter by specific team members (who created the activity)

Common filter combinations:

  • Communication only: Show just emails, calls, and meetings (hide system events)
  • Last 30 days: Focus on recent interactions
  • Deals only: See deal progression without other noise
  • My activities: Filter to only your own interactions with this contact
  • Unread emails: Show only emails you haven't read yet

Saving filter views:

  • After setting up useful filters, click "Save as default view"
  • Your filter preferences will persist across all contacts
  • Reset to "All activities" anytime to see the complete timeline

Adding Activities to the Timeline

You can manually log activities that happened outside of automated tracking.

Logging a call:

  • Click "+ Log Activity" at the top of the timeline
  • Select "Call"
  • Enter call direction, duration, and outcome
  • Add notes about what was discussed
  • Link to a deal if relevant
  • Click "Save" - the call appears in the timeline

Adding a note:

  • Click "+ Add Note" or the note icon
  • Type your note in the text field
  • Use formatting options (bold, lists, links)
  • @ mention team members to notify them
  • Mark as important to pin to the top
  • Save the note to add it to the timeline

Logging a meeting:

  • If not auto-synced from calendar, manually log past meetings
  • Select "Meeting" from log activity
  • Enter meeting date, time, and attendees
  • Add meeting notes and outcomes
  • Attach any files shared during the meeting

Uploading files:

  • Clique no botao attachment icon in the timeline
  • Select files from your computer
  • Files appear in the timeline with a timestamp
  • Equipe members can access shared files from the contact record

AI timeline features:

  • Summarize relationship: Ask "Summarize my relationship with John" to get a brief overview
  • Find specific info: "When did we last discuss pricing?" searches the timeline
  • Identify gaps: AI can alert you: "No activity with this contact in 45 days"
  • Next best action: AI suggests what to do next based on timeline history
  • Prep for meetings: "Brief me on Sarah before our call" generates a context summary

Example AI commands:

Before any important call or meeting, spend 30 seconds reviewing the contact's timeline. Look for the last 2-3 interactions, any open questions from previous conversations, and the current deal status. This quick review ensures you never start a conversation cold and shows the contact you remember your discussions. You can also ask the AI "Prep me for my call with [name]" to get an instant briefing.

When using contact timelines, you should see:

  • E-mails appearing automatically in the timeline within minutes of being sent or received
  • Calendar meetings syncing to the timeline 15-30 minutes after creation
  • Manually logged activities appearing immediately after saving
  • Chronological ordering with clear timestamps for every activity
  • The ability to click any activity to expand full details
  • System events appearing in gray to distinguish from primary activities
  • Activity counts showing total emails, calls, meetings at the top of the page

Solucao de Problemas

I sent an email but it's not showing in the timeline. Why not?

E-mail tracking requires your email account to be connected to SalesSheet. Check Settings → E-mail Integration to ensure your email is connected. If it's connected, emails can take up to 5 minutes to sync. Also check your timeline filters - you might have emails filtered out. Click "All Activities" to reset filters. Finally, if you sent the email from a different email address than the one connected to SalesSheet, it won't be tracked.

Meetings aren't syncing from my calendar. What's wrong?

First, verify your calendar is connected in Settings → Calendar Integration. Only meetings where the contact's email address is listed as an attendee will appear in their timeline - make sure you're inviting contacts to calendar events using the email address stored in their SalesSheet record. Calendar sync can take up to 30 minutes. Also note that all-day events and personal events (marked as private) don't sync to respect privacy.

Can I delete an activity from the timeline if it was logged by mistake?

Yes. Hover over any manually-logged activity (calls, notes, meetings you added) and click the three-dot menu, then select "Delete activity." Confirm the deletion. Note that you can only delete activities you created, unless you're an admin. Automatically-tracked emails and calendar events cannot be deleted from the timeline, but you can hide them using filters. System events also cannot be deleted as they're part of the audit trail.

The timeline is showing activities for a different person. How did this happen?

This usually occurs after merging duplicate contacts. When two contacts are merged, all activities from both records are combined into one timeline. If the merge was incorrect, you can unmerge the contacts (within 30 days) from the contact menu → View merge history → Undo merge. Alternatively, if specific activities belong to a different person, you can move individual activities by clicking the three-dot menu on the activity and selecting "Move to another contact."
