SalesSheet.ai keeps your team connected with a real-time notification system powered by Supabase Realtime. When a teammate @mentions you in a comment, assigns you a task, or updates a deal you are following, you receive an instant notification without needing to refresh the page. The bell icon in the top navigation bar displays your unread count, showing the exact number up to 9 and displaying "9+" for anything beyond that.
Notifications appear in two ways: as entries in the notification panel (accessed via the bell icon) and as toast popups that slide in from the top-right corner and auto-dismiss after 6 seconds. This dual delivery system ensures you never miss an important update, whether you are actively looking at the notification panel or focused on another part of the app.
Before You Begin
- An active SalesSheet.ai account on any paid plan with at least two team members
- Notification permissions enabled in your browser (for toast popups)
- A stable internet connection (real-time delivery requires an active WebSocket connection)
Using @Mentions
You can @mention a teammate anywhere that SalesSheet accepts text input with the comment system: contact notes, deal comments, task descriptions, and activity log entries. To mention someone, type the @ symbol followed by their name. A dropdown menu appears showing matching team members, filtered as you type.
Select the person you want to mention by clicking their name or pressing Enter. Their name appears as a highlighted link in the text. When you submit the comment, the mentioned person receives an instant notification. You can mention multiple people in a single comment by adding additional @mentions.
Understanding Notification Types
SalesSheet generates 4 types of notifications:
- Mention: Someone @mentioned you in a comment or note. The notification includes a preview of the comment text and a link to the record where you were mentioned.
- Assignment: A contact, deal, or task was assigned to you. The notification shows the record name and who assigned it.
- Update: A record you own or follow was modified. This includes deal stage changes, field edits, and new activities logged against your contacts.
- System: Account-level events such as import completions, billing changes, or integration status updates.
Each notification type has its own icon in the notification panel, making it easy to scan and identify what requires your attention.
Managing the Notification Panel
Click the bell icon in the top navigation bar to open the notification panel. The panel slides out from the right side of the screen and displays your notifications in reverse chronological order (newest first). Each notification shows the sender's avatar, a summary of the action, a timestamp, and an unread indicator (a blue dot on the left).
Click any notification to navigate directly to the relevant record. The notification is automatically marked as read when you click it, and the unread count on the bell icon decreases. To mark all notifications as read at once, click the "Mark all read" link at the top of the panel. You can also dismiss individual notifications by hovering and clicking the X button.
Toast Popup Behavior
When a new notification arrives while you are using SalesSheet, a toast popup appears in the top-right corner of the screen. The toast displays a brief summary of the notification, including the sender's name and the action taken. Each toast remains visible for 6 seconds before automatically sliding out.
You can click the toast to navigate to the related record immediately, or hover over it to pause the auto-dismiss timer so you have more time to read the details. If multiple notifications arrive in quick succession, they stack vertically, with the newest toast at the top. A maximum of three toasts are displayed at once to avoid cluttering the screen.
Customize Notification Preferences
Navigate to Settings > Notifications to control which types of notifications you receive. You can enable or disable each of the 4 notification types independently. You can also choose whether to receive toast popups, panel notifications only, or both. Email notification digests are available on Pro and Enterprise plans, allowing you to receive a daily or weekly summary of missed notifications.
Pro Tip
Use @mentions strategically to keep conversations in context. Instead of sending a separate email or Slack message about a deal, @mention your manager directly in the deal's comment thread. This keeps the discussion attached to the relevant record, creating a searchable history that anyone on the team can reference later.
Troubleshooting
I am not receiving real-time notifications. There is a delay of several minutes. Why?
Real-time notifications rely on a WebSocket connection powered by Supabase Realtime. If your connection drops (due to network instability, VPN reconnection, or the browser tab being inactive for an extended period), notifications are queued and delivered when the connection is re-established. Try refreshing the page to re-establish the WebSocket. If you are behind a corporate firewall, ensure that WebSocket connections are not blocked.
The @mention dropdown is not showing my teammate's name. What is wrong?
The @mention dropdown searches by first name, last name, and email address. Ensure you are typing at least two characters after the @ symbol for the search to activate. If the person still does not appear, they may not be an active member of your SalesSheet workspace. Check Settings > Team to verify they have an active account and have accepted their invitation.
Toast popups are not appearing even though I see notifications in the bell panel. How do I fix this?
Toast popups may be disabled in your notification preferences. Go to Settings > Notifications and ensure the "Show toast popups" toggle is enabled. Also check that your browser is not blocking notifications from SalesSheet.ai. In Chrome, click the lock icon in the address bar and verify that notifications are set to "Allow."
