Deals are the heart of your sales pipeline in SalesSheet.ai. They represent opportunities with potential customers and track the journey from initial interest to closed revenue. This guide covers everything you need to know about creating, editing, and managing deals effectively - including the powerful AI chat method that makes deal creation faster than ever.
Prerequisites
- Active SalesSheet.ai account
- At least one pipeline configured (see Creating Your Sales Pipeline)
- Basic understanding of your sales process
Create a Deal Using AI Chat (Fastest Method)
The fastest way to create a deal is through the AI chat interface. Simply type a natural language command describing the deal, and SalesSheet.ai will create it automatically with all the relevant details.
Click the AI chat icon in the bottom-right corner of any screen, or press Cmd/Ctrl + K to open the chat. Then type commands like:
- "Create a $50k deal with Acme Corp for their enterprise plan"
- "Add a new opportunity: $25,000 deal with TechStart Inc, closing next month"
- "New deal for Sarah Johnson at Innovate Labs, $100k annual contract"
The AI will extract key information from your message including deal value, company name, contact person, expected close date, and product details. It will create the deal and ask for any missing critical information. You can also say "add it to the Qualified stage" to specify where the deal should start.
After creating the deal, the AI will provide a link to view it and confirm the details were captured correctly. This method is ideal when you're on a call or just received an email and need to log an opportunity quickly.
Create a Deal Manually
For more control over deal creation, use the manual method. Navigate to your Pipeline view and click the "+ New Deal" button in the top-right corner, or click the "+" icon at the top of any pipeline stage column.
The deal creation form includes the following fields:
- Deal Name: Descriptive title (e.g., "Acme Corp - Enterprise License" or "Q1 2026 - TechStart Annual Contract")
- Deal Value: Expected revenue in your default currency. Enter numbers only; currency symbol is added automatically.
- Expected Close Date: Target date for closing this deal. Used for forecasting and pipeline reports.
- Pipeline: Select which pipeline this deal belongs to (if you have multiple pipelines configured)
- Stage: Initial stage where this deal should start. Defaults to your first stage (typically "Lead")
- Deal Owner: Team member responsible for this deal. Defaults to you but can be assigned to anyone.
- Company: Link to an existing company or create a new one. Type to search your company database.
- Contact: Primary contact person for this deal. Can link multiple contacts after creation.
- Priority: Low, Medium, High, or Critical. Affects deal card appearance and sorting.
- Tags: Custom labels for categorization (e.g., "Inbound," "Partner Referral," "Product A")
Click "Create Deal" when finished. The deal card will appear in your selected pipeline stage immediately.
Edit Deal Details
To edit a deal, click anywhere on the deal card in your pipeline view. This opens the deal detail panel on the right side of your screen, showing all information and activity history.
From the detail panel, you can update any field by clicking directly on it. Changes save automatically as you type. The detail panel also includes tabs for:
- Overview: All basic deal information, custom fields, and key metrics
- Activity: Timeline of all interactions, notes, emails, calls, and stage changes
- Files: Proposals, contracts, and other documents attached to this deal
- Tasks: To-dos and follow-ups associated with this deal
- Products: Line items and product configuration for this opportunity
To add a note, scroll to the Activity tab and type in the "Add a note" field. You can mention team members using @username to notify them. Notes support rich text formatting, including bold, italics, lists, and links.
The AI automatically logs activities related to the deal, such as emails sent to associated contacts, completed calls, and meetings. All activities are timestamped and attributed to the team member who performed them.
Link Contacts and Companies
Deals should always be connected to at least one contact and one company. This enables relationship tracking, communication history, and AI insights across your entire customer journey.
To link a contact, open the deal detail panel and click "Add Contact" in the Contacts section. You can search existing contacts by name, email, or company, or create a new contact on the fly. Link multiple contacts if several people are involved in the buying decision - for example, an economic buyer, technical evaluator, and end user.
Mark one contact as "Primary Contact" for the deal. This person will be the default recipient for communications and the main point of contact displayed on the deal card.
To link or change the associated company, click the company name in the deal details and select from your existing companies or create a new one. The company link enables you to see all deals associated with that account, track account-level revenue, and identify upsell opportunities.
When you link contacts and companies, SalesSheet.ai's AI analyzes communication patterns, response times, and engagement levels to provide deal health scores and risk alerts.
Work with Deal Cards
Deal cards display essential information at a glance on your pipeline board. Each card shows the deal name, value, company, expected close date, and assigned owner.
You can customize which fields appear on cards by going to Pipeline Settings > Card Display. Choose up to 6 fields to display based on what's most important for your sales process.
Cards use color coding to indicate status and health:
- Green border: Deal is healthy and progressing normally
- Yellow border: Deal needs attention (e.g., no activity in 7+ days, close date approaching)
- Red border: Deal is at risk (e.g., close date passed, no contact response, stuck in stage too long)
- Star icon: High-priority or favorited deal
Drag and drop cards between stages to update deal progress. You can also multi-select cards (hold Shift and click) to move, assign, or update multiple deals at once.
Pro Tip: Use AI for Quick Updates
You don't need to open the deal form to make updates. Use AI chat commands like "Update the Acme deal to $75k" or "Move TechStart to Negotiation stage" or "Add a note to the Innovate Labs deal: had a great call today, sending proposal tomorrow." This keeps you in the flow of work without constant clicking.
What to Expect
After creating and managing deals in your pipeline, you'll see:
- Deal cards automatically appear in the specified pipeline stage
- AI-generated insights about deal health, next steps, and risk factors in the detail panel
- Automatic activity logging when you email or call contacts associated with the deal
- Updated forecasts reflecting your latest deal values and stage probabilities
- Notifications when deals haven't been updated recently or close dates are approaching
- Smart suggestions for products, pricing, and next actions based on similar past deals
Deals remain in your pipeline until moved to Closed Won or Closed Lost stages. Closed deals move to your Closed Deals archive, where they remain searchable and contribute to reporting and analytics.
