Switching to SalesSheet.ai from another CRM is straightforward when you follow the right export steps. This guide covers the exact process for exporting your contacts from HubSpot, Salesforce, Pipedrive, and Copper, then importing them using the SalesSheet import wizard with the matching CRM preset for automatic field mapping.
Each CRM has its own export format and column naming conventions. By using the correct SalesSheet preset, the import wizard's 2-pass auto-mapping engine recognizes source-specific field names and maps them accurately, saving you from manual configuration. Exporting from HubSpot
In HubSpot, navigate to Contacts > Contacts from the main navigation. Click the Actions dropdown above your contact list and select Export. Choose "CSV" as the file format. HubSpot allows you to select which properties to include. At minimum, export First Name, Last Name, Email, Phone Number, Company Name, Contact Owner, Lifecycle Stage, and Create Date.
Click Export and wait for HubSpot to prepare the file. You will receive a download link via email and in the HubSpot notification center. Download the CSV file, then open the SalesSheet import wizard, select the HubSpot preset, and upload your file. The wizard automatically maps HubSpot column names like "Contact owner" and "Lifecycle stage" to the corresponding SalesSheet fields.
Exporting from Salesforce
In Salesforce, go to Setup > Data > Data Export or use the Reports tab to create a contact report. For the Data Export method, select the "Contacts" object and click Export Now. Salesforce generates a ZIP file containing one or more CSV files. Extract the ZIP and locate the contacts CSV.
Alternatively, create a report with the fields you need: navigate to Reports > New Report, select the Contacts & Accounts report type, add columns for Name, Email, Phone, Account Name, Lead Source, and Owner, then click Export and choose CSV format. In the SalesSheet import wizard, select the Salesforce preset. The wizard recognizes Salesforce-specific column names including "Account Name," custom field API names (ending in __c), and picklist values.
Exporting from Pipedrive
In Pipedrive, open the Contacts section and click the People tab. Use the filter controls to select the contacts you want to export, or leave filters empty to export all contacts. Click the "..." menu icon in the top-right corner of the list and select Export filter results. Choose CSV as the format.
Pipedrive exports include columns like "Person - Name," "Person - Email," "Person - Phone," "Organization - Name," and "Label." In the SalesSheet import wizard, select the Pipedrive preset. The auto-mapper recognizes Pipedrive's "Person -" and "Organization -" prefixed column names and strips them during mapping. The "Label" field maps to SalesSheet's tag system.
Exporting from Copper
In Copper (formerly ProsperWorks), navigate to People from the left sidebar. Click the Export button in the toolbar above your contact list. Copper provides an export with all contact fields by default, including Name, Email, Phone, Company Name, Contact Type, Tags, and custom fields.
The export is delivered via email as a CSV file. Download it, then open the SalesSheet import wizard and select the Copper preset. The wizard maps Copper-specific fields like "Company Name" (which maps to the Company field) and "Contact Type" (which maps to a SalesSheet tag). Copper's custom fields are matched by name to any matching custom fields you have created in SalesSheet. For best results, create your custom fields in SalesSheet before running the import.

After importing, use the SalesSheet bulk edit feature to clean up any fields that did not map perfectly. Select multiple contacts from your Contacts list, click Bulk Edit, and update fields like tags, owner, or lifecycle stage across all selected records at once.
Troubleshooting
My HubSpot export includes columns that SalesSheet does not recognize. What should I do?
HubSpot allows exporting hundreds of properties, many of which are HubSpot-specific (like "Recent Conversion" or "IP City"). During the mapping step, any unrecognized columns appear as "Unmapped." You can either skip these columns or map them to custom fields in SalesSheet. Only map columns that contain data you actively use.
Salesforce exported multiple CSV files. Which one contains my contacts?
The Salesforce Data Export produces a ZIP with separate files for each object. Look for a file named "Contact.csv" or "Contacts.csv." If you used the Reports method, you will have a single CSV containing only the data from your report, which is typically easier to work with.
Phone numbers from Pipedrive are importing incorrectly. How do I fix this?
Pipedrive stores multiple phone numbers per contact in a single cell, separated by semicolons. SalesSheet imports the first number as the primary phone. If you need all numbers, open the CSV in a spreadsheet editor before importing and split the phone column into separate columns (Phone 1, Phone 2). Then map each to the appropriate SalesSheet phone field during the import wizard.
