Managing Your Subscription

The billing page gives you a complete view of your subscription: current usage, available plans, and upgrade options. SalesSheet.ai uses Stripe to process all payments securely, and the billing page in your settings is your central hub for managing everything related to your subscription, invoices, and payment methods.

Access the billing page from Settings → Billing in the main navigation. Only organization administrators can view and manage billing settings. Regular team members will see their current plan name but cannot make changes to the subscription.

Before You Start

  • You must be an organization administrator to manage billing
  • Have a valid credit or debit card ready if you plan to upgrade or update payment methods
  • Review your current usage before changing plans to understand which plan fits your needs

Understanding the Usage Overview

Usage Overview

Three metric cards at the top of the billing page show your current usage at a glance:

  • Contacts: Displays the number of contacts you have created out of your plan limit, with a visual progress bar. For example, "2,847 / 25,000" on a Pro plan. When you reach 80% of your limit, the progress bar turns yellow as a warning. At 100%, it turns red and you will not be able to add new contacts until you upgrade or remove existing ones.
  • Team Members: Shows the current number of active team members versus your plan maximum. For example, "8 / 25" on a Pro plan. Each team member counts as one seat for billing purposes.
  • AI Requests per Day: Displays your daily AI request limit. Free trial users see a numeric limit (e.g., "25 / 25"), while paid plan users see "Unlimited." AI requests include any interaction with the AI chat assistant, AI enrichment triggers, and AI-powered search queries.

The usage overview updates in real time. If you add a contact or invite a team member, the numbers reflect the change immediately without needing to refresh the page.

Pro and Ultra plan cards with features and upgrade button

Below the usage overview, plan cards display the features and pricing for each available tier. Your current plan is indicated with a checkmark badge, and upgrade buttons appear on higher-tier plans.

Pro ($30/seat/mo): Designed for growing teams, the Pro plan includes up to 25 users, 25,000 contacts, unlimited AI requests, Gmail and Slack integrations, Voice DNA analysis for up to 50 Gmail threads, Kanban board for pipeline management, CSV import, and AI deal scoring. This plan is the most popular choice for small to mid-size sales teams.

Ultra ($50/seat/mo): Built for larger organizations that need advanced controls, the Ultra plan includes unlimited users and contacts, everything in Pro, Voice DNA analysis for 500 Gmail threads and 250 Slack conversations, role-based permissions for fine-grained access control, priority support with guaranteed response times, and advanced pipeline analytics with forecasting. The Ultra card is highlighted with a teal border to indicate it is the recommended plan for teams that need the most capability.

Both paid plans are billed per seat per month. When you add a new team member, your next invoice automatically includes the additional seat prorated for the remaining days in the billing cycle.

Upgrading or Changing Your Plan

Step 1

Upgrade to a Paid Plan

To upgrade from a free trial or move from Pro to Ultra, click the Upgrade button on the desired plan card. This opens the Stripe Checkout page where you enter your payment information.

  1. Click the Upgrade button on the plan you want
  2. Enter your credit or debit card details on the Stripe Checkout page
  3. Review the total amount, which includes prorated charges for the current billing cycle
  4. Click Subscribe to confirm
  5. You will be redirected back to SalesSheet.ai with your new plan active immediately

Plan upgrades take effect instantly. Your new contact limits, team member limits, and features are available as soon as the payment is processed.

Step 2

Downgrade Your Plan

To move from Ultra to Pro, or from a paid plan to the free tier, click the Manage Subscription link at the bottom of the billing page. This opens the Stripe Customer Portal where you can change your plan. Downgrades take effect at the end of your current billing period - you retain access to your current plan features until then.

Before You Downgrade

Make sure your current usage fits within the limits of the lower plan. If you have 30,000 contacts and downgrade to Pro (25,000 limit), you will not lose any data, but you will not be able to add new contacts until you reduce your count below the new limit. Similarly, if you have more team members than the lower plan allows, you will need to remove seats before the downgrade takes effect.

Managing Your Payment Method

Update Payment Information

To update your credit card or switch to a different payment method, click the Manage Subscription link to open the Stripe Customer Portal. From there you can:

  • Add a new credit or debit card
  • Remove an expired or outdated card
  • Set a different card as the default payment method
  • View the last four digits and expiration date of your current card

SalesSheet.ai does not store your full card number - all payment data is handled securely by Stripe. Changes to your payment method take effect immediately and apply to your next invoice.

Viewing Invoices and Payment History

Access Your Invoices

Click the Manage Subscription link to open the Stripe Customer Portal, then navigate to the Invoice History section. Here you can view every invoice generated for your account, including:

  • Invoice date and billing period
  • Number of seats billed
  • Total amount charged
  • Payment status (paid, pending, or failed)

Each invoice can be downloaded as a PDF for your records or for submitting to your company's finance team. Invoices include your organization name, billing address, and a detailed line-item breakdown of all charges.

Your Current Plan

Current Plan Status

The bottom section of the billing page shows your current plan name and a description of your subscription status. If you are on a free trial, this section displays how many days remain in your trial and a prompt to upgrade for full access. Paid users see their plan name, billing cycle (monthly), and the next renewal date.

If a payment fails, a red banner appears at the top of the billing page with instructions to update your payment method. SalesSheet.ai retries failed payments three times over a 7-day period before suspending the account. During the retry period, your account remains fully functional.

Canceling Your Subscription

Cancel Your Plan

To cancel your subscription, click the Manage Subscription link to open the Stripe Customer Portal, then click Cancel Plan. Your subscription will remain active until the end of the current billing period. After cancellation:

  • Your data is preserved for 90 days in case you decide to resubscribe
  • Your account reverts to the free tier with limited contacts and AI requests
  • Team members beyond the free tier limit will lose access (they can be re-invited if you resubscribe)
  • You can resubscribe at any time from the billing page to restore full access

Pro Tip

Keep an eye on the contacts progress bar. If you are approaching your limit, consider upgrading or cleaning up unused contacts to stay within your plan. You can also use the AI assistant to identify contacts with no recent activity by asking "Show me contacts with no interactions in the last 6 months" - this helps you clean up your database and stay within your plan limits.

Troubleshooting

My payment failed. What should I do?

Go to Settings, click Manage Subscription to open the Stripe Customer Portal, and update your payment method. Common reasons for failed payments include expired cards, insufficient funds, or a card that has been replaced by your bank. After updating your card, Stripe will automatically retry the charge. Your account remains active during the retry period.

I was charged for more seats than I expected. Why?

SalesSheet.ai bills per active seat. If you invited team members during the billing cycle, their seats are prorated and added to your next invoice. Check Settings, then Team to review your current active members. If someone no longer needs access, remove them from the team to reduce your seat count for the next billing period.

I do not see the Manage Subscription link. Where is it?

The Manage Subscription link is only visible to organization administrators. If you are a regular team member, ask your administrator to make billing changes. If you are the account creator and still do not see the link, contact support at andres@salessheets.ai for assistance.
