SalesSheet.ai's AI reads entire email threads and provides concise summaries highlighting the key points, decisions made, and action items - so you can get up to speed in seconds instead of minutes.

This guide explains how AI email summaries work, how to request them, and how to use daily digests to stay on top of your inbox effortlessly.

Before you begin

  • Connect your email account in Settings > Integrations
  • Ensure email sync is enabled for the accounts you want summarized
  • Grant permissions for the AI to read email content
Step 1

Request an Email Thread Summary

You can ask the AI to summarize any email thread at any time. Simply describe which email you want summarized:

Example requests:

  • "Summarize the email thread with Jennifer about the pricing proposal"
  • "What's the latest in my conversation with Acme Corp?"
  • "Give me a summary of the long thread from Michael yesterday"
  • "Catch me up on the negotiation emails with StartupCo"

The AI identifies the relevant thread based on your description - using sender names, subject lines, keywords, or dates - and processes the entire conversation history.

You can also request summaries directly from the email view in SalesSheet by clicking the "Summarize with AI" button that appears on threads with 3+ messages.

Step 2

Review the Key Points

The AI generates a structured summary that includes:

  • Overview: A 1-2 sentence summary of what the thread is about
  • Key Points: Bulleted list of important topics, decisions, or information discussed
  • Action Items: Specific tasks or follow-ups mentioned in the emails
  • Next Steps: What needs to happen next based on the conversation
  • Sentiment: Overall tone (positive, neutral, concerned, urgent)

The summary appears in the chat interface and is also saved to the contact or deal timeline for future reference.

The AI automatically identifies action items mentioned in email threads and highlights them separately. These might include:

  • Tasks you need to complete ("Send the contract by Friday")

Step 4

Use Daily Email Digests

Instead of summarizing individual threads on demand, you can enable daily email digests. The AI automatically reviews all your emails from the past 24 hours and sends you a morning digest containing:

  • Summary of important email conversations
  • All action items identified across emails
  • Urgent messages requiring immediate attention
  • Deal updates mentioned in emails
  • New leads or opportunities detected

Enable digests in Settings > AI Preferences > Email Summaries. You can choose to receive them daily, every Monday, or only when there are 10+ unread messages.

The digest arrives in your inbox each morning, giving you a quick overview before you dive into individual emails.

Step 5

Deep Dive When Needed

Email summaries are designed to give you the gist quickly, but sometimes you need more detail. From any summary, you can:

  • Click "View Full Thread" to read the original emails
  • Ask the AI follow-up questions: "What exactly did she say about pricing?" or "When did they mention the deadline?"
  • Request a more detailed summary: "Give me more detail on the technical requirements they mentioned"
  • Search within the thread: "Find where they discussed the timeline"

The AI maintains context about the thread, so you can have a conversation about the email without re-reading everything yourself.

Pro Tip

If you're often CC'd on long team email threads, set up automatic summarization rules. Go to Settings > AI Preferences > Auto-Summarize and create rules like "Summarize any thread with 5+ messages in the Support folder" or "Auto-summarize CC'd emails from the CEO." This way, you get summaries of important threads without having to request them manually.

What to Expect

When using AI email summaries, you'll find:

  • Summaries generate in 3-5 seconds, even for very long threads
  • The AI captures nuance, including implied concerns or hesitations
  • Action items are correctly attributed to the right person
  • Summaries focus on business-relevant content, filtering out pleasantries
  • The AI identifies urgency and flags time-sensitive items
  • Summaries improve over time as the AI learns your priorities
  • You can regenerate a summary if the first one missed something important

Troubleshooting

The summary missed an important point

Tell the AI specifically: "You missed the part about the deadline" or "Include the pricing discussion in the summary." The AI will regenerate the summary with that point emphasized. You can also ask: "Give me a more detailed summary" to get a longer version that includes more nuance.

The AI is summarizing the wrong email thread

Be more specific in your request. Instead of "Summarize the email from Jennifer," try "Summarize yesterday's email thread with Jennifer Davis about the Q2 proposal." Include dates, subjects, or specific keywords to help the AI find the exact thread you mean. If there are multiple threads with the same contact, specify the subject line.

I'm not receiving daily email digests

Check Settings > AI Preferences > Email Summaries to ensure digests are enabled. Verify your digest email address is correct. Check your spam/junk folder in case the digest was filtered. Also ensure your email integration is still connected in Settings > Integrations - if the connection expired, the AI can't access your emails to generate digests.
