AI Conversation History

Every conversation with SalesSheet.ai's AI is saved and searchable, giving you a complete record of all your interactions. Whether you need to reference what you asked last week, find that email draft you never sent, or pick up a conversation where you left off, the AI's conversation history has you covered.

This guide explains how to access your conversation history, search past interactions, and understand how the AI maintains context across sessions.

Step 1

Accessing Conversation History

Your conversation history is always available in the AI chat interface. To access it:

  • Open the AI chat from your dashboard or press Cmd+K (Mac) / Ctrl+K (Windows)
  • Scroll up in the chat window to see previous messages
  • Click the "History" button in the top-right corner of the chat for a structured view
  • Navigate to Settings > AI > Conversation History for a full archive

The chat interface displays your most recent conversations by default. Older conversations are organized by date with automatic groupings: Today, Yesterday, Last 7 Days, Last 30 Days, Older.

Each conversation thread is preserved exactly as it occurred, including all AI responses, your requests, and any actions taken (emails sent, contacts created, etc.).

Step 2

Searching Past Conversations

Finding specific past interactions is easy with the built-in search functionality:

To search your history:

  • Click the search icon in the chat interface or press Cmd+F (Mac) / Ctrl+F (Windows)
  • Type keywords related to what you're looking for
  • The AI will highlight matching conversations and show snippets of relevant exchanges

Search examples:

  • "Show me conversations about Acme Corp"
  • "Find that email draft I created for Jennifer"
  • "When did I create the Microsoft deal?"
  • "What did I ask about pricing last week?"

Search works across all conversation content: your messages, AI responses, and associated metadata like contact names, deal titles, and dates.

You can also filter by date range: "Show conversations from last month" or "Find my chats from December."

Step 3

Understanding Context Preservation

One of the most powerful features of SalesSheet.ai is how the AI maintains context across sessions. This means:

  • Session continuity: You can log out and log back in days later, and the AI still remembers your previous conversations
  • Reference previous items: Say "Send that email I drafted yesterday" and the AI knows which email you mean
  • Build on past work: "Update the proposal we discussed last week with the new pricing" works seamlessly
  • Avoid repetition: The AI remembers your preferences and patterns from past conversations

Context is preserved within individual conversation threads. The AI maintains awareness of what you've discussed in the current conversation and can reference it naturally.

For long-term context (weeks or months), you may need to be more explicit: "Remember when we created the Acme deal in November? Update it to..." instead of just "Update that deal."

Step 4

Viewing Conversation Details

Each conversation in your history includes rich metadata:

  • Timestamp: Exact date and time of each message
  • Actions taken: Visual indicators of emails sent, contacts created, tasks added, etc.
  • Related entities: Links to contacts, deals, or tasks mentioned in the conversation
  • AI model used: Which AI model processed each request (useful for BYOK users)
  • Conversation tags: Auto-generated tags like "Email Drafting," "Deal Management," "Data Query"

Click into any past conversation to see full details. From there, you can:

  • Continue the conversation where you left off
  • Copy text from AI responses
  • Jump to related CRM records
  • Share the conversation with team members (if permissions allow)
Step 5

Managing Your History

You have full control over your conversation history:

Archive conversations: Right-click any conversation and select "Archive" to move it out of your main view without deleting it. Archived conversations remain searchable.

Delete conversations: If you need to remove sensitive conversations, select them and click "Delete." This permanently removes the conversation (cannot be undone).

Export history: Go to Settings > AI > Conversation History > Export to download your full conversation history as JSON or CSV for record-keeping.

Set retention: Configure how long to keep conversation history in Settings > AI > Data Retention. Options range from 30 days to forever (default).

Note: Conversations tied to CRM actions (created contacts, sent emails) are preserved in the activity timeline even if you delete the conversation.

Pro Tip

Use conversation history as a personal CRM journal. The AI chat becomes a searchable record of your thinking, decisions, and actions over time. When onboarding new team members, you can share relevant conversation threads to show them how you handle common scenarios. You can also ask the AI to summarize your recent conversations: "What have I been working on this week?" for a quick recap of your activity.

What to Expect

When using conversation history, you'll find:

  • All conversations are saved automatically with no action required
  • History is synchronized across all devices where you're logged in
  • Search results appear in under 1 second, even with thousands of conversations
  • Context is preserved reliably within 30-day windows
  • Conversation metadata enriches over time (AI adds tags, categories automatically)
  • History is private to you unless explicitly shared with team members
  • No storage limits on conversation history (all plans include unlimited storage)

Troubleshooting

I can't find a conversation I know I had

Try broadening your search terms. Instead of searching for specific phrases, use key entities like contact names or company names. Check the "Archived" folder in case you accidentally archived it. If you still can't find it, go to Settings > AI > Conversation History and use the advanced search filters to search by date range, action type, or related CRM entity.

The AI doesn't remember context from my last session

Context is best preserved within individual conversation threads. If you started a new conversation instead of continuing the previous one, the AI may not have immediate access to that context. Say "In my conversation yesterday about the Acme deal..." to help the AI locate the relevant context. The AI can search your history to find what you're referencing, but being specific helps.

My conversation history is missing or incomplete

Check your data retention settings in Settings > AI > Data Retention. If it's set to a short period (e.g., 30 days), older conversations may have been automatically deleted. Contact support if you believe conversations were lost due to a technical issue - there may be backups available. For future protection, set retention to "Keep forever" and export your history regularly.
