The shared pipeline in SalesSheet.ai lets your entire sales team collaborate on deals in a single, unified view. Instead of each rep working in isolation, the shared pipeline gives managers full visibility into every active deal while allowing reps to focus on their own opportunities. You can assign deal owners, control who sees which deals, use team-wide pipeline views for forecasting, and transfer deals between team members when workloads shift. This guide walks you through setting up and using the shared pipeline effectively.

Paso 1

Enable the Shared Pipeline

The shared pipeline is enabled by default for all workspaces with more than one team member. To verify it is active or to adjust sharing settings, go to Settings > Pipeline > Sharing from your dashboard.

On this page you will see a toggle labeled Enable Shared Pipeline. When enabled, all deals created by any team member are visible to the rest of the team according to the visibility rules you configure. When disabled, each team member can only see their own deals.

Below the toggle, you will find options for the default sharing behavior when new deals are created. You can set this to Visible to all (every team member can see every deal), Visible to team (only members of the same sub-team can see the deal), or Private by default (deals are only visible to the owner and Admins until explicitly shared).

Assign Deal Owners

Every deal in the shared pipeline has an owner. The owner is the team member primarily responsible for working the deal and moving it through the pipeline stages. By default, the person who creates a deal becomes its owner.

To assign or change a deal owner, open the deal detail view by clicking on the deal card in the pipeline. In the deal sidebar, you will see the Owner field with the current owner's name and avatar. Click the field to open a dropdown of all team members and select the new owner.

You can also assign owners in bulk from the pipeline list view. Select multiple deals using the checkboxes, click Bulk Actions at the top, and choose Assign Owner. Select the team member from the dropdown and all selected deals will be reassigned at once.

When a deal is reassigned, the new owner receives a notification with the deal details. The previous owner retains read access to the deal (based on visibility rules) but the deal moves to the new owner's queue in filtered views.

Set Visibility Rules

Visibility rules determine which team members can see which deals in the shared pipeline. Admins can configure these rules at Settings > Pipeline > Visibility Rules.

Full visibility: Every team member can see all deals in the pipeline regardless of ownership. This is the simplest setting and works well for small teams where everyone collaborates on everything.

Hierarchical visibility: Team members can see their own deals plus the deals of anyone they manage. Managers see their entire team's pipeline. This works well for organizations with reporting structures where managers need oversight.

Private with sharing: Team members can only see deals they own or deals that have been explicitly shared with them. This offers maximum privacy and is useful for competitive sales environments or when dealing with sensitive accounts.

Regardless of the visibility setting, Admins always have access to all deals. This ensures that workspace administrators can always review the full pipeline for reporting and management purposes.

Paso 4

Use the Team Pipeline View

The team pipeline view gives you a consolidated look at all visible deals across the entire team. Access it by clicking Pipeline in the left sidebar and then selecting the Team View tab at the top of the page.

In the team view, deal cards are color-coded by owner so you can quickly identify who is working on what. Each card shows the deal name, value, current stage, expected close date, and the owner's avatar. Hover over any card for a quick summary popup with additional details.

You can filter the team pipeline view by owner, stage, deal value range, expected close date, or tags. The Owner filter is particularly useful for managers who want to review a specific rep's deals during a one-on-one coaching session.

The team view also includes a summary bar at the top showing total pipeline value, number of active deals, weighted forecast, and average deal size. These numbers update dynamically as you apply filters, so you can quickly calculate metrics for individual reps or specific segments of the pipeline.

Paso 5

Transfer Deals Between Team Members

When a team member leaves, changes roles, or has too many active deals, you may need to transfer deals to another person. SalesSheet.ai provides a dedicated transfer tool to make this process smooth.

To transfer deals, go to Settings > Team, find the team member whose deals you want to transfer, and click the Transfer Deals button next to their name. A dialog will appear showing all deals currently owned by that person.

You can transfer all deals at once to a single person, or selectively assign individual deals to different team members. Select the deals you want to transfer, choose the new owner from the dropdown, and click Transfer. The new owners will be notified about each deal they receive, including any notes and activity history.

All deal history, notes, emails, and activity logs are preserved during transfers. Nothing is lost. The transfer itself is also logged in the team activity feed so there is a clear record of when and why ownership changed.

Pro Tip: Use Pipeline Views for Forecasting Meetings

During your weekly forecast call, open the team pipeline view and filter by expected close date to see everything due this month or quarter. The weighted forecast at the top gives you a probability-adjusted revenue number that accounts for each deal's stage. You can share your screen with the team or export the view to a spreadsheet for offline review.

Important: Deal Transfers Are Permanent

Once a deal is transferred to a new owner, the action cannot be undone through a simple "undo" button. If a deal was transferred by mistake, you will need to manually reassign it back to the original owner by editing the deal's Owner field. Always double-check the selected deals and new owner before confirming a transfer.

What to Expect with the Shared Pipeline

Once your shared pipeline is configured and your team is using it, you will experience improved collaboration and visibility:

  • Every team member can see relevant deals based on your visibility rules
  • Managers get a complete picture of the pipeline for accurate forecasting
  • Deal handoffs between reps are seamless with the transfer tool
  • Color-coded team views make it easy to identify deal ownership at a glance
  • Filters and summary metrics help you slice the pipeline by any dimension
  • All changes and transfers are logged in the team activity feed

Teams that use the shared pipeline report better alignment between reps and managers, fewer dropped deals during transitions, and more accurate revenue forecasts. The visibility alone often surfaces coaching opportunities that would otherwise be missed.

Solución de Problemas

I cannot see deals from other team members

Check the visibility rules configured for your workspace at Settings > Pipeline > Visibility Rules. If the setting is "Private with sharing," you will only see deals that have been explicitly shared with you. Ask your Admin to adjust the visibility rules or have the deal owner share specific deals with you from the deal detail view.

The Team View tab is not visible

The Team View tab only appears when the shared pipeline is enabled and your workspace has more than one active team member. If you are the only person in the workspace, invite team members first. If the shared pipeline is disabled, an Admin needs to enable it at Settings > Pipeline > Sharing.

A deal transfer did not notify the new owner

Verify that the new owner has notifications enabled in their account settings. They should check both in-app notifications and email notification preferences. If the notification was sent but missed, the deal will still appear in their pipeline view. They can also check the team activity feed for the transfer record.

Pipeline totals seem incorrect in team view

Pipeline totals in the team view are calculated based on the deals visible to you according to visibility rules. If you do not have full visibility, the totals will only reflect deals you can see. Ask an Admin to check the full pipeline totals, which include all deals regardless of visibility settings. Also verify that your filters are not excluding deals unintentionally.
