This guide shows you how to identify AI-detected action items, create tasks from them, set due dates, assign team members, and ensure nothing falls through the cracks.

AI Detects Action Items Automatically

Whenever the AI summarizes an email thread, meeting, or conversation, it automatically identifies action items. These are statements indicating something needs to be done, such as:

  • "I'll send you the proposal by Thursday"
  • "Can you follow up with the legal team?"
  • "Let's schedule a demo for next week"
  • "I need to review the contract before Friday"
  • "Please share the pricing breakdown"

The AI distinguishes between action items for you versus action items for others. It also extracts implied deadlines from phrases like "by end of week," "before the meeting," or "ASAP."

Action items appear in email summaries, meeting recaps, and daily digests with a distinctive highlight and a "Create Task" button next to each one.

Create a Task with One Click

When you see an action item you want to track, simply click the "Create Task" button next to it. The AI pre-fills a task with:

  • Title: A clear, concise description of the action
  • Due Date: Extracted from the original text (e.g., "by Thursday" becomes the actual Thursday date)
  • Related Contact/Deal: Automatically linked to the relevant contact or deal
  • Context: A note containing the original email or conversation snippet for reference
  • Priority: Inferred from urgency cues in the text (urgent keywords, tight deadlines)

The task creation modal appears with all fields pre-filled. You can accept as-is or adjust any details before saving.

Alternatively, you can ask the AI directly: "Create a task for following up with Jennifer about pricing" or "Add a task to send the proposal by Thursday."

Paso 3

Set Due Dates and Reminders

The AI extracts due dates intelligently from natural language:

  • "by Friday" = next Friday's date
  • "end of month" = last day of current month
  • "before our meeting" = date/time of scheduled meeting
  • "in two weeks" = date exactly 14 days from now
  • "ASAP" = marked urgent with due date today

If no specific date is mentioned, the AI suggests a reasonable deadline based on context. For example, "follow up" without a date might default to 3 days from now.

You can also set reminders: "Remind me the day before" or "Alert me 2 hours ahead." The AI configures reminder notifications based on your request.

For recurring tasks, tell the AI: "Create a weekly task to check in with the team every Monday."

Assign to Team Members

If the action item is for someone else on your team, you can assign it directly:

  • "Create a task for Marcus to review the contract"
  • "Assign this to Jennifer on the sales team"

The AI creates the task and assigns it to the specified team member. They receive a notification with the task details and context from the original email or conversation.

For shared responsibilities, you can assign multiple people: "Create a task for Marcus and Jennifer to collaborate on the proposal."

Assigned team members can see the full context of where the task came from, including the original email thread or meeting notes, so they have all the information they need.

Track and Complete Tasks

All tasks created from AI summaries appear in your Tasks list, organized by due date. You can view them by:

  • Due date (today, this week, upcoming, overdue)
  • Contact or deal association
  • Priority level (high, medium, low)
  • Assigned person (your tasks, team tasks)

Mark tasks complete by clicking the checkbox or telling the AI: "Mark the proposal task as done."

The AI can also remind you of incomplete tasks: "What tasks are due today?" or "Show me overdue tasks for the Acme deal."

When you complete a task, it's automatically logged in the related contact or deal timeline, maintaining a complete activity history.

Solución de Problemas

The AI created a task for something I don't need to do

Simply delete the task or tell the AI: "Remove that task." If auto-create is enabled and you find it's creating too many unnecessary tasks, adjust the sensitivity in Settings > AI Preferences > Auto-Create Tasks. You can set it to "High confidence only" so it only creates tasks for very clear action items.

The due date is wrong

Click into the task and adjust the due date manually, or tell the AI: "Change the due date to Friday at 3pm." The AI learns from corrections, so if you consistently adjust dates, it will improve its future suggestions. Also check your timezone settings in Settings > Preferences to ensure dates are being interpreted in the correct timezone.

I don't see action items in my email summaries

Action item detection requires access to email content. Check Settings > Integrations to ensure your email integration has full read permissions (not just metadata). Also verify that action item detection is enabled in Settings > AI Preferences > Email Summaries. If it's enabled but you still don't see action items, the emails may not contain clear action language - try asking the AI directly: "Are there any action items in my recent emails?"
