Why Templates Matter

Every CRM promises automation. The problem is that building automations from scratch requires you to understand triggers, conditions, actions, and edge cases before you have even closed your first deal. Most sales reps look at an empty automation builder, feel overwhelmed, and close the tab. The automation stays unbuilt. The follow-up stays unsent. The lead goes cold.

SalesSheet ships with four pre-built automation templates that cover the workflows every sales team needs on day one. Each template is a one-click install that you can customize later or run as-is. They work with our AI assistant to add intelligence that static rule-based automations cannot match.

The best automation is the one that actually gets turned on. Templates lower the activation energy from "build it yourself" to "click install."
The four pre-built automation templates: Follow-Up, Lead Router, Stage Updater, and Win/Loss Analyzer

Template 1: The 3-Touch Follow-Up

This is the automation that pays for itself in the first week. When a new contact is created (from a CSV import, email sync, or manual entry), the 3-Touch Follow-Up waits 24 hours and then checks whether you have sent that contact any message. If not, it drafts a personalized introduction email using the contact's enrichment data and queues it for your review.

If the contact does not reply within 3 days, it drafts a second touch with a different angle, typically referencing something specific from their LinkedIn profile or company news. If there is still no reply after 5 more days, it sends a final "closing the loop" message that asks a simple yes/no question to prompt a response.

How AI Chat enhances it

You can ask the AI assistant: "Show me all contacts stuck at touch 2 with deal value over $5K." The AI queries your automation state and returns a filtered list with suggested next actions. You can also say "Pause the 3-touch sequence for anyone at Acme Corp" and it applies the exception instantly without you touching the automation settings.

Template 2: Round-Robin Lead Router

When a new lead comes in from your website form or email, this template assigns it to the next available rep on your team in a round-robin rotation. It accounts for rep availability (if someone is marked Out of Office, they get skipped), existing relationships (if the lead's company already has a deal owned by a specific rep, route to that rep), and territory rules (if you have geographic assignments configured).

The router creates a Slack notification for the assigned rep with the contact's enrichment summary and a deep link to open the contact in SalesSheet. Response time on new leads drops dramatically when the right rep gets notified immediately instead of leads sitting in a shared inbox waiting to be claimed.

How AI Chat enhances it

Ask "Who has the most unworked leads this week?" and the AI analyzes your routing history to show load imbalances. You can then say "Redistribute Maria's unworked leads to the rest of the team" and it re-routes in one command. The AI also flags when a rep's response time to routed leads exceeds your team average, so you can coach before deals go stale.

Template 3: Deal Stage Updater

Deals go stale when reps forget to update the pipeline. This template watches for signals that a deal has progressed and automatically suggests stage changes. When a proposal PDF is attached to a deal's email thread, it suggests moving from "Demo Completed" to "Proposal Sent." When a calendar invite is accepted by the prospect, it suggests moving from "Contacted" to "Meeting Scheduled."

The template does not force stage changes. It creates a notification with a one-tap confirm/dismiss action. This keeps the rep in control while eliminating the cognitive load of remembering to update the pipeline after every interaction. Teams using this template see 40% fewer stale deals sitting in the wrong stage for more than a week.

How AI Chat enhances it

The AI assistant reviews your deal activity daily and can proactively tell you "3 deals haven't had any activity in 10 days and are still marked as Negotiation. Want me to flag them as At Risk?" You can also ask "Which deals moved backward this month?" to catch deals that regressed from a later stage, often a sign of a misqualified opportunity.

Template 4: Win/Loss Analyzer

When a deal is marked as Closed Won or Closed Lost, this template triggers a structured debrief. For wins, it logs the deal cycle length, number of touchpoints, and which content pieces were shared. For losses, it prompts the rep to select a loss reason from a dropdown (price, timing, competitor, no decision, feature gap) and optionally add notes.

The data flows into your analytics dashboard where you can see win/loss patterns over time. Which competitors are you losing to most often? What is the average cycle length for deals you win versus deals you lose? Are there specific deal sizes where your close rate drops? These insights compound over months and become the foundation of a data-driven sales strategy.

How AI Chat enhances it

Ask "What are our top 3 loss reasons this quarter?" and the AI generates a summary with specific deal examples. You can go deeper: "Show me the deals we lost to Competitor X where deal size was over $10K" and it pulls the relevant records. The AI can also generate a quarterly win/loss report as a formatted summary that you can share with your team or leadership.

Installing and Customizing

All four templates are available under Settings, then Automations, then Templates. Each one has a preview screen that shows exactly what it does, what triggers it uses, and what actions it takes. Click Install and the automation goes live immediately. You can pause, edit, or delete it at any time.

Customization is straightforward. Want the 3-Touch Follow-Up to wait 48 hours instead of 24? Change the delay. Want the Round-Robin to exclude interns from the rotation? Add a role filter. Want the Deal Stage Updater to auto-confirm instead of suggesting? Toggle the auto-approve switch. Every template is a starting point, not a straitjacket.

These four templates represent the workflows we see every sales team building within their first month. By shipping them pre-built, we save you that month and let you focus on what actually matters: having conversations with prospects and closing deals.
